We are seeking an experienced Tour & Events Coordinator who can hit the ground running and join our fun and hardworking Tours & Events team in this full-time role.

 

The Tours and Events team is a critical part of Zespri’s commitment to help inform and engage with our key stakeholders, including growers, customers, government representatives and our community. 

 

Your key responsibilities include:

 

  • Partner closely with the Tours & Events Manager and Market Managers to plan, deliver and review the customer tour programme.
  • Create detailed and accurate tour itineraries that outline all aspects of the tour arrangements
  • Prepare detailed tour budgets based on the requested tour objectives, monitor tour costs and reconcile budgets post tour providing accurate reports.
  • The planning, delivery and review of all arrangements for allocated events (in-person, hybrid and virtual).
  • Preparing detailed run-sheets, budgets, communication plans, health and safety plans, and sustainable event plans as appropriate for allocated events.
  • Supporting the Tours and Events Manager and the wider team to deliver keystone events in Zespri’s calendar such as the Annual Meeting, Chairman’s Dinner, Momentum Kiwifruit Industry Conference and Mystery Creek Field-days.
  • Plan and deliver Zespri’s participation in community, promotional and sponsorship events and activities but also Zespri staff events.
  • Build close working relationships with industry stake holders and suppliers, and with the wider Global Public Affairs, Communications and Tours and Events team.
  • General Administration and project work; coding invoices, coordinating calendars, managing resources and merchandise and responding to business requests in this area.
  • Providing backup support for the Global Public Affairs & Communications team with internal and external publications and events.
  • NZ based travel and out of hours work will be required at times depending on the needs of the tours or events being delivered.

The successful Tours & Events Coordinator will have a strong orientation in customer service, an outstanding attitude and ambition to make people feel welcome and well-informed. Solid administrative, event and project management skills are necessary. The successful candidate will have:

 

•    A Tourism and Travel Management tertiary qualification or relevant experience.
•    Event Management tertiary qualification or relevant experience.
•    Hold a full clean drivers license.
•    Strong relationship building and people management skills.
•    Effective time management skills.
•    Strong MS suite skills including Word, Excel, Outlook, Powerpoint, Teams and Office 365.
•    An good understanding of IT and Audio Visual requirements for virtual tours and events.
•    Initiative and the ability to adapt as a situation requires.
•    Understanding of TourWriter and EventsAir software packages.
•    A good level of fitness and strength due to the nature of the role.
•    A positive attitude and commitment to delivering outstanding results for Zespri and the industry.
•    Knowledge of the Kiwifruit industry (desired but not essential).
