He aha te mahi? What's the role?

 

This is a hands-on, part-time Operations Assistant role supporting our Australian sales and operations team through a busy 7‑month period. Working 22.5 hours per week (with flexibility around how those hours are structured), you’ll play an important behind-the-scenes role ensuring orders, inventory, and operational processes run smoothly and accurately.

 

You’ll work closely with internal teams and external partners, particularly third-party logistics providers, and spend a significant amount of time working in SAP to keep information flowing and up to date.

 

Key accountabilities include: 

 

  • Entering and maintaining sales, production, and purchase orders in SAP (S/4HANA), ensuring accuracy and timeliness.
  • Managing production orders end-to-end, including reconciling volumes and closing orders.
  • Supporting inventory movements, including creation of STOs and monitoring stock flows.
  • Uploading and transferring data from SAP into customer and 3PL portals.
  • Liaising with third-party logistics providers (3PLs) to support deliveries, production, and billing.
  • Reviewing and validating 3PL billing and service entry sheets against agreed rates.
  • Working with internal finance teams (AP/AR) to support smooth billing and financial processes.
  • Providing general operational support to the Australia operations team and helping resolve day-to-day issues as they arise.
  • This is a detail-driven role where accuracy, follow-through, and good communication really matter.

You’re practical, organised, and comfortable working independently, with a strong eye for detail and the ability to juggle competing priorities. You’ll also bring: 

 

  • Experience using SAP (preferred) or another ERP system in an operations, logistics, or supply chain environment.
  • Confidence working with data, including transferring information between systems and portals.
  • Strong attention to detail and a structured, methodical approach to work.
  • Good time management skills and the ability to prioritise tasks effectively.
  • Experience liaising with external partners, such as 3PLs or service providers.
  • Clear, professional communication skills – written and verbal.
  • Solid Microsoft Office skills, particularly Excel.
  • A flexible mindset and willingness to support where needed in a small, collaborative team.
  • Most importantly, you’re happy working autonomously, take ownership of your responsibilities, and enjoy being the person who keeps things running smoothly.
